Appoint a License Manager and/or Calendar Manager
After installing Virto Calendar App, you must appoint a License Manager and/or Calendar Manager. This step is crucial for effectively managing licenses and calendar settings.
To assign these roles, follow the detailed instructions in our documentation.
User Permissions
Permissions for Virto Calendar App are inherited from SharePoint, Exchange, and Teams user privileges. This ensures that existing user roles and permissions are respected and applied within the Virto Calendar App.
Within the app, you can assign specific roles, such as calendar manager or license manager, to manage calendar settings and licenses.
Configuring Permissions
Click the cog icon in the upper-right corner of the app.
Select "Settings" followed by the "Permission" tab.
Assign users as calendar managers or license managers.
If you install the app and skip the checkbox "Consent on behalf of your organization," or if anything went wrong and you need to reset the authorization and permissions, follow these steps:
Use the browser incognito mode and log in to your Azure portal.
Go to Azure Active Directory > Enterprise applications > Virto Apps.
Delete the Virto Apps.
Return to the installed Virto Calendar App on SharePoint or Teams.
Repeat the "Authorization and Permissions" steps.
Click here to read more about Virto Apps.
This guide provides step-by-step instructions for administrators to install and configure Virto Calendar App for Microsoft Teams or SharePoint. It covers the installation process, necessary permissions, and initial configuration steps to ensure the app functions correctly.
This step should be performed by a Tenant Administrator only.
Step 1: Authorization
Upon first use, a permission request will appear. Click “Login to Azure AD.”
Next, check "Consent on behalf of your organization" and click on "Accept." This will prevent the permission request pop-up for each user.
If you don’t receive this alert message, skip this step.
Step 2: Grant Permissions
Open the Virto Calendar App settings and click the "Edit Calendar" icon on the top left.
In settings, you will see a message requiring additional permissions. Click "Grant required permission."
A window with an expanded list of required permissions will open. Click the checkbox and then the "Accept" button.

Permission Issues: Ensure that the necessary permissions are granted through Azure AD.
App Errors: Try reinstalling the app if errors persist.
Virto Calendar App roles and permissions
There are two levels of permissions that are relevant to Virto Calendar App.
First level: The permissions of the SharePoint site itself, set by the Site Administrator for user groups / specific users. Virto Calendar App inherits these permissions.
Second level: The Virto Calendar Overlay permissions, whereby you can assign a user as a calendar manager who can modify calendar settings. Please go to the subpages to find out where to find these settings and how to configure them.
At the moment, when the Tenant Administrator selects “Consent on behalf of your organization” and authorizes Virto Calendar App, calendar permissions are the same for all users.
In this chapter, you will learn how to troubleshoot common issues with Virto Apps, including permission problems and app errors. We’ll provide step-by-step guidance on resetting authorization and permissions.
The Virto Calendar App helps to overlay Exchange Online calendars with other Microsoft 365 calendars in a single view:
Use SharePoint lists as a data source to display any events or tasks on Virto Calendar App.
Combine events from SharePoint lists, Outlook calendars, and meeting rooms.
Add external calendars using an iCal link from Google or other popular calendar services.
Effortlessly switch between timescales to view events grouped by day, week, month, year, and tasks.
Color-code events and their categories to establish a well-structured and clear SharePoint calendar overlay.
Incorporate the mini calendar for a compact overview of all calendar events.

Now, the app is ready for configuration! Click “Configure my Virto calendar.”
To create your first Virto calendar, specify the name of the new calendar.
Then, choose a SharePoint calendar to take data from. If you do not have an appropriate SharePoint calendar on your site, you will see “No calendars existing.” In this case, you can add available Outlook calendars from the list. When you're finished, click "Create & Go."
Check out your first Virto calendar!
VirtoSoftware does not store your data. Permissions are required to display overlaid calendars in real-time to a user who opens the Calendar app. The tool has access to the permissions provided only when this user works with Virto Calendar App. A private key is generated for this session, which nobody except this user reuses for future data access: new session, new private key.
When you have added Virto Calendar App to a SharePoint site page, you can switch between the available calendars using the calendar selector. Sometimes, however, you may need to choose a single calendar to show on the page. In this case, switch to edit mode and click the “Edit web part” icon.
In the web part settings, choose the default calendar you wish to show and uncheck the “Show calendar selector” option. Republish the page.
Now, only the chosen calendar will appear on this page.
Each SharePoint list and event list has its "Permissions for this list" settings. Here is how you can find them:
By default, the settings for each list are inherited from the general settings of the current site. Information about this appears in a yellow window when you go to settings. If you click on the name of the site whose permissions inherit the selected sheet, you will be brought to the permissions settings of that site.
The Permission Levels menu will appear in the site's header. You can see all the current permission settings for each user group by clicking it.
You can create user groups with different permissions by clicking "Add a Permission Level." You can give users permissions ranging from viewing the sheet to complete control. Virto Calendar App inherits these same permissions.
From these list permissions, only four are relevant to the Virto Calendar App.
Suppose you want to configure a user's ability to add, edit, delete, and view calendar events. In that case, you must select or deselect these settings:
Add Items - the ability to add new events to the calendar
Edit Items - the ability to edit any calendar events
Delete Items - the ability to delete any calendar event
View Items - the ability to only view the calendar events in lists
Outlook Calendar has a similar logic: different permissions can be granted to various users, from "Read Only" to "Delegate" access, where an authorized user can edit and create events on behalf of another user. Virto Calendar App inherits them accordingly.
This guide shows you how to add a new calendar from a SharePoint list.
First, click the calendar name.
Choose one of two options in the “General” tab: “Add existing data source” or “Create new SharePoint data source.”
Add existing data source
If you add an existing data source, choose a SharePoint list from the drop-down list.
You can also find all the available lists displayed in this drop-down list in the "Available SharePoint data sources" tab.
Use the checkboxes to determine whether the calendar should be read-only, whether it should be shown in the calendar, and whether events should be hidden.
Click “Add” at the bottom of the window. The new data source will now appear in the list.
Create new SharePoint data source
if you add a new source, choose a SharePoint list from the available list and fill in the required fields: name, site URL, data source time zone, fields for event title, start date, and end date.
For a calendar to display the time correctly, ensure that Datasource Timezone matches the time zone in SharePoint settings.
To check if they match, go to your SharePoint site, click on the gear in the upper right corner, then find "Site settings" => "Regional settings," and make sure the time zones match.
Back to datasource settings, choose a color for the new data source. Click the palette icon within the color menu to pick from the full palette.
Select the fields you wish to show in the calendar tooltip. The same option is available for the event form (opens when you create or edit an event).
When ready, click “Save” to save the new data source.
Read how to add SharePoint lists as data sources to your Virto calendar.
Virto Calendar App supports adding meeting rooms to a single calendar view. Many companies use shared email for booking meeting rooms, and you can add such an email address to your calendar settings to view meetings directly in a Virto calendar.
To add meeting rooms to your calendar, click the calendar name to open its settings.
Scroll down to “Exchange settings” and type in your company or team's email address used for booking meeting rooms.
You can use the same method to add other users’ calendars and meeting rooms. If the chosen user shares more than one calendar, you can add all of them.
Check the box for “Show all.” Click “Save.”
Now, your calendar includes the meeting rooms of the email addresses you added.
If you are a member of many groups, this method is the best choice for achieving a clear visual distinction. With it, you can view group events (for your Outlook groups) separately and overlay or turn them off at any time.
To set up a separate calendar view for a user group from Outlook, follow these steps:
Open Outlook in your browser.
Go to 'Groups' in the left pane menu and locate the group you want to add. Click on it and copy its email address.
Back to Edit calendar in your Virto calendar settings, select "Display the following list of calendars and Meeting rooms" and paste the email address below.
