Product: Virto Shared Calendar
Updated: 2026-10-22

Each template is one calendar set up for one job, using what Virto Shared Calendar already has: categories, permissions, external calendars and share links. Pick the template closest to what your team needs and follow its steps. It takes a few minutes.

| Template | The question it answers | Who adds entries |
|---|---|---|
| [Vacation and absence calendar](https://docs.virtosoftware.com/docs/virto-shared-calendar/templates/vacation-and-absence-calendar/index.md) | Who is out this week, and when are they back? | Everyone adds their own time off |
| [On-call schedule](https://docs.virtosoftware.com/docs/virto-shared-calendar/templates/on-call-schedule/index.md) | Who is on call this week, and who is the backup? | The team lead |
| [Project deadlines calendar](https://docs.virtosoftware.com/docs/virto-shared-calendar/templates/project-deadlines-calendar/index.md) | What is due this week, and when does the client review it? | The project team |
| [Company calendar](https://docs.virtosoftware.com/docs/virto-shared-calendar/templates/company-calendar/index.md) | When is the office closed, and what is coming up? | HR or the office manager |

## Before you start

- **One calendar shows one team's picture.** Virto Shared Calendar shows one calendar at a time, together with its external calendars such as public holidays. Put everything one team needs to see side by side into one calendar and tell it apart with categories.
- **A new calendar is open to your whole organization.** It is not private and uses the **Default** permission mode, so everyone in your organization who uses the app can see it and edit it as an owner. Each template says which permission mode to choose. See [Permissions](https://docs.virtosoftware.com/docs/virto-shared-calendar/calendar-settings/permissions/index.md).
- **The free plan holds 15 entries in each calendar.** A recurring series counts as one entry; changing or deleting a single occurrence of a series counts as one more. Events from external calendars do not count. People who only view a calendar never need a license. See [Subscription](/docs/virto-shared-calendar/working-with-calendar/subscription/).
- **Put the calendar where the team works.** In a Microsoft Teams channel, add a tab, choose Virto Shared Calendar and pick the calendar in **Choose calendar to display**. The same calendar can sit in the tabs of several channels.
