Templates
Each template is one calendar set up for one job, using what Virto Shared Calendar already has: categories, permissions, external calendars and share links. Pick the template closest to what your team needs and follow its steps. It takes a few minutes.
| Template | The question it answers | Who adds entries |
|---|---|---|
| Vacation and absence calendar | Who is out this week, and when are they back? | Everyone adds their own time off |
| On-call schedule | Who is on call this week, and who is the backup? | The team lead |
| Project deadlines calendar | What is due this week, and when does the client review it? | The project team |
| Company calendar | When is the office closed, and what is coming up? | HR or the office manager |
Before you start
- One calendar shows one team’s picture. Virto Shared Calendar shows one calendar at a time, together with its external calendars such as public holidays. Put everything one team needs to see side by side into one calendar and tell it apart with categories.
- A new calendar is open to your whole organization. It is not private and uses the Default permission mode, so everyone in your organization who uses the app can see it and edit it as an owner. Each template says which permission mode to choose. See Permissions.
- The free plan holds 15 entries in each calendar. A recurring series counts as one entry; changing or deleting a single occurrence of a series counts as one more. Events from external calendars do not count. People who only view a calendar never need a license. See Subscription.
- Put the calendar where the team works. In a Microsoft Teams channel, add a tab, choose Virto Shared Calendar and pick the calendar in Choose calendar to display. The same calendar can sit in the tabs of several channels.
