Virto Shared Calendar capabilities and limits
Virto Shared Calendar is a calendar that people fill in themselves and share with their team, with people outside the organization by link, and with other Microsoft 365 tenants. It keeps its own events and does not read Outlook or SharePoint calendars. The app is made by VirtoSoftware, which has built apps for SharePoint and Microsoft 365 since 2011; it is a different product from Virto Calendar App, which overlays existing Outlook, SharePoint and Planner calendars.
Where it runs
- Microsoft Teams: a personal app, and a tab in channels, group chats and meeting chats.
- A browser web app at teams-calendar.app, and Outlook and the Microsoft 365 app, from the Outlook Apps tab.
- Phones and tablets through Teams or the browser; there is no native mobile app. It is not a SharePoint app, and the interface is in English.
Features
- Day, Week, Work week, Month, Year, Flat year, Quarter, Task (hours), Task (days) and Live views.
- Events with a rich-text body, colour-coded categories, a meeting link with a Join button for Teams, Zoom and Google Meet, and attendees picked from the members of the Teams channels or chats the calendar is added to.
- Recurring events, drag and drop, one time zone per calendar, and print layouts.
- Internet calendars by iCal (ICS) link, such as holiday feeds, shown read-only next to the calendar’s events and refreshed at most every 30 minutes. Save as iCal downloads the visible date range as an .ics file.
- A calendar is private or visible to the whole organization. By default everyone in the organization is an owner; in Restricted mode named owners edit the calendar, named members edit events and everyone else views.
- Share links: one view-only and one edit link per calendar, opened in a browser with no Microsoft account and no sign-in. Another tenant adds the calendar by pasting the link into a Teams tab.
What Virto Shared Calendar does not do
- No Outlook, Exchange, SharePoint or Planner sources. For an overlay of those calendars, see Virto Calendar App.
- No reminders or notifications. Attendees are recorded on the event but not invited or notified.
- No booking, sign-up slots or RSVP, and no location field or file attachments.
- No subscription feed out. Save as iCal is a one-off file, and internet calendars are read-only.
- One calendar at a time. A view shows one calendar with its internet calendars.
- Share links have no expiry date; to stop one, unpublish it.
Requirements and admin consent
- Anyone in the organization can add the app from the Teams app store, if Teams app policies allow third-party apps. No administrator consent is needed.
- Sign-in uses the app’s own Microsoft Entra app (client ID d02fa1c7-ef98-459f-ac0c-a12cf3b1819c). The browser must allow cookies.
Where your data stays
- Unlike Virto Calendar App, Virto Shared Calendar stores your data. Calendars, events, attendees’ names and emails, categories and share links are kept by VirtoSoftware in Azure Table Storage on Microsoft Azure, in the United States.
- Data processing terms for Virto Shared Calendar are agreed separately in writing.
Licensing
- Free plan, with no time limit: up to 15 entries per calendar and any number of calendars. A recurring series counts as one entry; changing or deleting one occurrence counts as one more. Internet-calendar events do not count.
- There is no trial, because the free plan has no time limit. Viewing never needs a licence, also through a share link.
- Paid plans: Standard, per named user who creates or edits calendars with more than 15 entries, and Unlimited, for the whole tenant.
- Prices are on the Virto Shared Calendar product page.
