Virto Forms Designer App capabilities and limits

Virto Forms Designer App replaces the New, Edit and Display forms of a SharePoint Online list or library with forms built in a drag-and-drop designer. A published form is a page in the list that reads and writes the list item through SharePoint itself. The app is made by VirtoSoftware, which has built apps for SharePoint and Microsoft 365 since 2011; it is a different product from Virto Form Designer, the web part for SharePoint Server.

Where it runs

  • SharePoint Online in Microsoft 365. The Virto Forms button appears in the command bar of lists, libraries, event lists and task lists, in the modern view only.
  • The designer opens in a new browser tab from forms-app.virtosoftware.com.
  • It has no Teams or Outlook app and does not run on SharePoint Server.

Features

  • New, Edit and Display forms per content type, and several forms per list and form type, each for chosen users or SharePoint groups.
  • Rows, sections, tabs, accordions and panels; the list’s fields plus rich text, HTML, hyperlink, image, label, button and horizontal rule.
  • Hide or lock any element for chosen users or groups; read-only fields cannot be edited in the published form.
  • Default values, custom CSS and a JavaScript editor; a button can run a script.
  • Export and import a form as a .vft template.

What Virto Forms Designer App does not do

  • No settings for rules. Showing a field based on another field’s value, validation, calculated values and cascading lookups are written in JavaScript in the designer.
  • No InfoPath import. It does not read .xsn files, so each InfoPath form is rebuilt by hand, and it does not handle InfoPath form libraries.
  • No repeating sections or tables, and no external data connections such as SQL Server or web services.
  • No New form for documents. In a library the New form is the file upload; the app designs Edit and Display forms.
  • It does not change permissions. Hiding or locking a field shapes the form only; SharePoint permissions still decide who may change the data. Required fields cannot be hidden.
  • A SharePoint administrator adds the app from Microsoft Marketplace to the app catalog.
  • The app signs in through its own Microsoft Entra app, Virto Forms Designer (client ID ad8772f8-f0b7-4877-937c-df242a4ac76e), with delegated permissions only, including Sites.FullControl.All and User.ReadBasic.All.
  • Sites.FullControl.All needs tenant-wide consent from a Global, Cloud Application or Application Administrator, not a SharePoint administrator. Until then people see Need admin approval.
  • Publishing or resetting a form needs custom script on the site, which SharePoint allows for at most 24 hours at a time. Published forms keep working after it is switched off.

Where your data stays

  • List items and documents stay in SharePoint. Neither VirtoSoftware’s server nor the form scripts send item data to VirtoSoftware.
  • VirtoSoftware stores the form definitions on Microsoft Azure in the United States (West US 2): layout, JavaScript, CSS and HTML, site URL and list ID, the logins and group names used in form permissions, authors, designer admins and the first user’s email. Error logs hold the action, time and error text.
  • Published forms load their scripts from forms-app.virtosoftware.com each time they open.
  • Stored form data is deleted on request to dpo@virtosoftware.com.

Licensing

  • One subscription covers the whole Microsoft 365 tenant, with unlimited forms and users. Plans: Business, and Enterprise on request.
  • A 30-day free trial is available. There is no free plan.
  • If the subscription ends, published forms keep working.
  • Prices are on the Virto Forms Designer App product page.
