# Virto Kanban Board App capabilities and limits

Virto Kanban Board App shows the items of one or several SharePoint Online lists as cards on a Kanban board, with columns and swimlanes. The cards are the list items themselves: moving or editing a card changes the item in SharePoint. Virto Kanban Board App for Microsoft 365 and for Microsoft Teams is the same app, made by VirtoSoftware, which has built apps for SharePoint and Microsoft 365 since 2011.

## Where it runs

- SharePoint Online: a web part on a page, or a full-page app.
- Microsoft Teams: a tab in standard, private and shared channels and in group chats. Board settings are edited in SharePoint.
- Phones and tablets in the browser; there is no native mobile app. Interface in English, German, French and Spanish.

## Data sources and features

- One or several SharePoint lists from one site collection per board, including document libraries. **Quick Board** creates a ready task list.
- Comments are stored in SharePoint, history is read from the list's version history, and subtasks are linked through a lookup field.
- Columns from a Choice field, with WIP limits that highlight an overload or block new cards, and column totals.
- Swimlanes from a Choice, Lookup, Person or Yes/No field; card layouts with colour rules; public and private filters.
- Subtasks and checklists, comments, task and board history, and Status, Members, Completion, Burndown and Lead time charts.
- Save the board as PDF, clone and move tasks, and export or import board templates with up to 50 cards.
- Board permissions: No access, View only, Edit, and Edit only own tasks.
- Changes made on a board appear on the same board open elsewhere.

## What Virto Kanban Board App does not do

- **No notifications of its own.** The built-in board notifications were switched off in 2023. Alerts on board changes come from Virto Alerts & Reminder App, which is included in a Virto Kanban Board App subscription.
- **No timeline view, no task dependencies, no time tracking.**
- **No Microsoft Planner or Microsoft To Do sync.** Boards work with SharePoint lists only.
- **No permissions beyond SharePoint.** Editing a card needs edit rights on the list item; board permissions can narrow SharePoint rights but never extend them.
- Changes made directly in the SharePoint list appear on an open board after a reload.
- Task history leaves out attachment changes, and cloning a task does not copy its attachments.

## Requirements and admin consent

- Install the SharePoint app from Microsoft Marketplace and the Teams app from the Teams store.
- The app signs in through the Microsoft Entra app **Virto Apps** (client ID 1d610c9c-d68b-494e-baad-ecff3123c065), shared with Virto Calendar App. It uses delegated permissions only, including Sites.FullControl.All and User.ReadBasic.All, and every call runs as the signed-in user.
- Tenant-wide consent comes from a Global, Cloud Application or Application Administrator, not a SharePoint administrator.
- In Safari, **Prevent cross-site tracking** must be turned off, because the board runs from VirtoSoftware's domain inside the SharePoint page.

## Where your data stays

- Tasks, comments, attachments and history stay in your SharePoint lists. VirtoSoftware does not store task content.
- VirtoSoftware stores the board configuration on Microsoft Azure: board names, source list URLs, field mappings, columns, swimlanes, filters, styles, permission lists with user logins, and the date each licensed user last opened a board.
- The configuration is stored in the United States by default; an administrator can move it to Europe under **Tenant storage location**. A few service tables, such as error logs, stay in the United States.

## Licensing

- Licensed per named user, per tenant. Read-only users need a licence too.
- Plans step up by the number of users: up to 30, 31 to 200, and Enterprise above 200.
- A 30-day free trial is available. After the trial, the app stays free for up to three users.
