Virto Alerts & Reminder App capabilities and limits
Virto Alerts & Reminder App sends email alerts when items in a SharePoint Online list or library are added, changed or deleted, and reminders before or after a date in a list column. It can post the same messages to a Microsoft Teams channel. The app is made by VirtoSoftware, which has built apps for SharePoint and Microsoft 365 since 2011; in Microsoft Teams the same product is listed as Virto Notifications & Reminders App.
Where it runs
- SharePoint Online in Microsoft 365, as a SharePoint Framework (SPFx) solution from Microsoft Marketplace, added to each site collection that uses it.
- People open it from the Virto Alerts command in a list or library, in the modern view only.
- It replaces the earlier add-in Alerts for Office 365 by Virto, which stopped working on April 2, 2026, when Microsoft retired SharePoint add-ins.
Data sources and features
- SharePoint lists and libraries: a whole list, a list view or a library folder. Changes arrive through SharePoint list webhooks, and an instant alert goes out within minutes.
- Alerts on new, changed or deleted items; reminders a set number of days before or after a date column, at a set hour.
- Send at once, or as a scheduled summary, for example daily or weekly, which can be one table in one email.
- Conditions on field values, including changed values and relative dates such as [Today]+7, grouped with And and Or.
- Recipients: users, groups, a person column of the item, and external addresses for users allowed to add them.
- Teams: paste a webhook URL from the Teams Workflows app into MS Teams Workflow URL, and the message posts to that workflow’s channel. Microsoft retired Office 365 connectors in May 2026.
- Message templates with old and new field values and item links, attachments on instant alerts, rule export and import as JSON, and Microsoft 365 Service Health alerts for administrators.
What Virto Alerts & Reminder App does not do
- Only SharePoint lists and libraries. It does not read Outlook, Exchange or group calendars, Planner tasks or iCal feeds.
- Email and Teams channels only. No SMS and no one-to-one Teams chat messages; each channel needs its own workflow URL.
- No escalation, approval chains or read receipts. Approvals belong in Power Automate or a similar tool.
- No classic view and no SharePoint Server. The on-premises product is Virto Notifications & Alerts Web Part.
- A new reminder does not send on the day it is created, and summaries carry no attachments.
Requirements and admin consent
- A SharePoint or Global Administrator adds the app to the app catalog; a site owner adds it to a site.
- The app uses delegated permissions for the signed-in user and application permissions for its background service, which reads users, groups and list items and manages list webhook subscriptions (Sites.Manage.All).
- Because of the application permissions, a Global Administrator or Privileged Role Administrator gives consent once for the tenant. A SharePoint Administrator cannot. Revoking a permission stops the alerts that depend on it.
Where your data stays
- List items stay in your SharePoint lists. The background service on VirtoSoftware’s Microsoft Azure reads them to build each message.
- The service keeps your alert and reminder rules, site settings and the send queue. After the app is removed, support deletes the remaining backend data on request.
- Emails come from no-reply@virtosoftware.com unless you set another From address.
- A custom deployment in your own Azure subscription is available, in which no data passes through VirtoSoftware infrastructure.
Licensing
- Licensed by the number of alert and reminder rules created, not by users and not by emails sent. Plans step up from 30 to 100 rules; larger volumes are on Enterprise terms.
- A 30-day free trial is available. There is no free plan and no free allowance of alerts.
- Also part of the Virto M365 Productivity Kit. Prices are on the Virto Alerts & Reminder App product page.
